The Opportunity
We have an exciting opportunity to join our Family Services team on a fixed-term basis until the 27th June 2025. The role of the Family Services Program Administrator (FSPA) is funded by Early Help and sits within the Families & Community Program. This position works from both the Sandringham and Frankston Family Life Service Centres (Bunurong Land). The FSPA will also have the opportunity to work from home up to 1 day per week.
The Families & Community Program at Family Life offers a range of services within the Bayside Peninsula catchment. This includes the Brief Support, Community Bubs, Integrated Family Services (IFS), Integrated Family Services Plus (IFS+) and Family Preservation & Reunification Response (FPRR) Programs. These programs are aimed at providing an enhanced response to families with significant needs, who have children under the age of 18 years old. Support is focused on strengthening the capacity of families to provide a safe, nurturing, and stable environment for their children. Support is also provided to vulnerable families and their children who are often involved with or at risk of entering the statutory Child Protection system.
The FSPA is instrumental in providing high level administrative support to the broader Families & Community Program, ensuring the smooth running of operations, with a focus around the Early Help funded targets. The FSPA will work closely with the Brief Support Practitioners, Early Help Coordinator and Team Leader to support the ongoing functionality of the methods in which the families are engaged with Family Life, in addition to the engagement of key stakeholders.
Key Responsibility Areas
The key responsibilities include but are not limited to:
- Providing high level administrative support to internal key stakeholders.
- Maintaining and enhancing effective day to day operations within the Families & Community Program Group Work portfolio, with the management of the overall group work administration processes on our Client Management System, inclusive of direct contact with referred families, where required.
- Assistance with planning and execution of various relevant projects, as determined by line management.
- Working alongside the Early Help Coordinator in building, updating and maintaining the network of contacts.
- Assisting the CSnet Champion with training and development of the broader team, pertaining to Group Work.
- Participation in appropriate professional development, network meetings, Team Meetings and supervision, as directed by line management.
- Collection, recording and maintaining all required documentation to quality standards, to evidence impact and effectiveness of service delivery in a complete, accurate and timely manner, as requested by the organisation’s standards, relevant legislation and program contracts.
- Working from within a lens of continuous improvement to better both the program’s service delivery processes and the greater service system. Flexibility to collaborate around these processes with leadership, to best implement findings.

We are looking for a qualified (Business, Marketing, Project Management, Quality or similar) and skilled individual, who embodies the Family Life Way principles. Passionate about supporting at-risk families from within a lens of continuous improvement, you will ideally have experience working within community services/NFP (or have a desire to gain this experience). With highly developed written, verbal and interpersonal communication skills, you aim to provide a positive experience for the families we support, through your dedicated contribution to the overall functionality of the Families & Community Program.
